2. Data We Collect
We collect and process the following categories of personal data:
- Account data: Name, email address, phone number, company name, and role provided during registration or invitation.
- Usage data: Actions performed within the platform (e.g., creating work orders, managing assets), timestamps, and IP addresses for security and audit purposes.
- Contact form data: Name, email, phone, company, and message content submitted through our website contact form.
- Technical data: Browser type, device information, and cookies necessary for platform functionality.
3. Legal Basis for Processing
We process personal data based on:
- Contract performance (Art. 6(1)(b) GDPR): To provide and maintain the platform services you or your organization subscribed to.
- Legitimate interest (Art. 6(1)(f) GDPR): To improve our services, ensure security, and prevent fraud.
- Consent (Art. 6(1)(a) GDPR): For optional communications such as marketing emails. You may withdraw consent at any time.
- Legal obligation (Art. 6(1)(c) GDPR): To comply with applicable laws and regulations.
4. Data Sharing

- Infrastructure providers: EU-based cloud hosting services for platform operation.
- Email services: For transactional emails (work order notifications, invoices, password resets).
All third-party processors are bound by data processing agreements and operate within the EU/EEA.
5. Data Retention
We retain personal data for the duration of your active subscription plus 12 months. After account deletion, data is permanently removed within 30 days, except where retention is required by law (e.g., invoicing records for tax purposes, retained for 5 years as required by Greek tax law).

7. Data Security
